Overview:
Before enabling iPassan Access Control for a Facility in connecX, two things must be set up first:
Your connecX site must already be integrated with iPassan.
The relevant Asset must be created in iPassan.
In iPassan, Assets represent what connecX calls Facilities. If the required asset has not been created yet, follow the steps below under How to Create an Asset in iPassan. If the asset already exists, scroll ahead to Enable iPassan Access Control for Facilities.
How to Create an Asset in iPassan
Step 1: Log in and Navigate to Assets
Log in to iPassan Manager. Go to Equipment & Settings > Assets
Step 2: Click Add a New Asset
Step 3: Fill the following fields in General Asset Details. Once you're done, leave the rest of the fields as they are.
Name: Enter the name of the facility (e.g. Gym, Function Room)
Type: Select Asset Booking
Display: Choose either Week View or Planning View
Door/Zone Access: Select the appropriate relevant door access profile
Floor Access Profile: Select the appropriate floor access profile
(Only users with these Door/Zone and Floor Access profiles will be able to make a booking. If not configured correctly, bookings will fail with an error.)
Step 4: Configure Advanced Settings. Once you're done, leave the rest of the fields as they are.
Time Slot: Set to 15 minutes
Max Booking Time: Match the Max Duration in connecX (if applicable)
Allow Only One Booking Per Time Slot: Tick this option (optional)
Step 5: Assign a Manager from the Web API Group
Scroll to the Users section and in Manager, click the + dropdown and select any user from the Web API group.
If you don't know which user is in the Web API group. You can find this group under Software Operator in iPassan.
Step 6: Click Save to complete the asset setup
How to Enable iPassan Access Control for Facilities
Once the asset is ready in iPassan, follow these steps to link it to a facility in connecX:
Step 1: Starting from the left navigation bar head to Settings > Facility
Step 2: Select the relevant facility you want to enable access control for
Step 3: Ensure Bookings Are Enabled

Step 4: Toggle Enable Access on

Step 5: In the Access Control Type dropdown, select iPassan

Step 6: In the Select Asset dropdown, choose the corresponding iPassan Asset. Click Save to apply the changes

Test the integration
To confirm everything is working as expected:
Step 1: Create a test booking in connecX for the facility
Step 2: Head to Monitoring > Facilities Asset Bookings in iPassan
Step 3: Depending on the display you set for your facility/asset go to either Week View or Planning View
Step 4: Open the timetable for that facility/asset and confirm that the booking appears with the correct time and details.
Step 5: Finally, cancel the test booking in connecX to clear the test entry.
